AI assistants
Dernetz uses AI assistants, led by Joji, to help run its service. They read and summarise bills, contracts and emails, research businesses from public sources, draft and send routine emails (for example asking for a bill, a Letter of Authority or a contract end date), and ask energy suppliers for account information when a customer has signed a Letter of Authority. Quotes, prices and supply contracts are always reviewed by a person at Dernetz before they reach a customer. If you ask whether you are talking to an AI assistant, you will be told honestly. The AI models we use are provided by Groq, Inc. in the United States, so some information may be processed outside the UK under the UK International Data Transfer Addendum. Our AI provider does not use your information to train its models.

Our emails and signing pages
Our emails to customers may contain a small image and links that pass through our own address, so we can record when an email is opened and which links are used. When you open a document we have sent you to sign, our signing page records when it was opened, which pages were viewed, which fields were completed (not what was typed in them) and whether you left before signing. With each of these we record the time, the internet address and the town and country it comes from (worked out on our own systems, using DB-IP data), and the type of device and program. We use this to keep accurate records of what was sent and received, to follow up at the right time, and as evidence if there is ever a dispute about a contract, a complaint or what was agreed. It is kept for six years and then deleted. Our signing page uses no cookies. You can ask us not to record this for your emails.
